Arkleby Leisure Swimming Pool (ALS) Privacy Statement

This privacy policy explains how personal information we collect about you when you utilise pool hire services at Arkleby Leisure Swimming Pool will be used, retained and protected. ALS is a private swimming pool based in the grounds of the Halls Bank Cottages holiday complex, our postal address is Arkleby Leisure, c/o Arkleby House Farm, Arkleby, Wigton, Cumbria CA7 2BP. Operating under the name of: Arkleby Leisure. ALS is the data controller for the purposes of appropriate data protection laws including GDPR; we are a separate organisation to any other business operating at the address listed above. When you undertake pool hire certain information about you will be collected which may include your name, date of birth, gender, email address, address, telephone number (landline and mobile) and financial information to process payments.

How information about you will be used

We will use your information to fulfil the requirements of your arrangements with ALS. The extent of how we will use your information will be dependent upon your type of use. Those uses might include:

Pool management

Processing of pool hire payments
Providing details to fulfil any certification requirements of Local Government and Sporting bodies ( e.g. Swim England)
Share anonymised data with directors to provide information about pool hire statistics and occupation figures.
Facilitating pool bookings


We may use third-party Service Providers to monitor and analyze the use of our Service.

Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our Service. This data is shared with other Google services. Google may use the collected data to contextualize and personalize the ads of its own advertising network.

It is important that we are able to contact you by email, telephone or letter using the contact details obtained when you completed your booking registration form to keep you updated about changes and news related to the operation of ALS. This could be to: Send general (non-marketing) communications relating to ALS, such as bank holiday closure times or closure for maintenance, and other information deemed relevant to the operation of ALS.

Who we will share your information with

ALS does not sell, trade or rent your personal details to third parties unconnected to facilitating you use of the pool. Details provided to suppliers and/or data processors connected to ALS are purely for the purposes of the fulfilment of our operations eg: enabling bookings and payments to be processed.
Dependant on your usage and how you pay your fees your information may be shared with organisations that provide us with the following services:

We may also contact you with regard to providing your contact information to the NHS Test and Trace service should we be notified by them that a Customer of the pool has tested positive for Covid-19

Access to your information and correction of personal details

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information please email: We will be obliged to offer any appropriate details within 30 days of the request. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate. We will only control your data for as long as it is deemed necessary after which time it will be securely deleted. Information will be stored on our online booking and payments systems which are run on our behalf by and Information will also be held locally on a computerised excel database or PDF format held on Office 365.

Data Deletion Process

Any paper forms will be shredded once data entered onto the database or scanned into electronic format.

Electronic records will be deleted annually in January a year after your last use of the pool which required data to be held.

Children’s Privacy

Our Service does not address anyone under the age of 18 (“Children”).

We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your Children has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers.
